Change Tracking in Data Entities - DMF in Dynamics 365 Finance & Operations

Change Tracking in Data Entities - DMF in Dynamics 365 Finance & Operations

Change tracking in Dynamics 365 Finance & Operations (F&O) is a powerful feature designed to track and synchronize data changes in specific data entities with external systems or applications. This capability is particularly useful for data integration or migration scenarios, where maintaining up-to-date data across various platforms is crucial. Let's delve into the details of what change tracking offers:

Purpose

Change tracking ensures that external systems, such as Customer Relationship Management (CRM) systems, Business Intelligence (BI) tools, or other third-party applications, stay synchronized with Dynamics 365 F&O. This synchronization is achieved without the need for full data exports, thus optimizing performance and resource usage.

How It Works

When change tracking is enabled on a data entity, the system records any additions, updates, or deletions made to the records in that entity. This enables external systems to retrieve only the changes since the last synchronization, rather than re-importing the entire data set. This approach saves time and conserves resources, making data integration more efficient.

Types of Tracking

  1. No Tracking: Change tracking is not enabled.
  2. All: Tracks all changes made to the records of the entity.
  3. Custom: Tracks changes to specific fields within an entity.

Performance Consideration

While change tracking is a valuable feature, it should be used judiciously. Enabling change tracking on large data sets or multiple entities can impact performance. Therefore, it's important to assess the necessity and impact before enabling this feature.

Configuration

Change tracking is configured within the Data Management workspace. Here’s how you can enable or disable change tracking for data entities:

  1. Navigate to the Data Management Workspace: Access the Data Management workspace to manage data entities and configure data import/export settings.
  2. Find the Data Entities Option: Within the workspace, locate the "Data entities" option.
  3. Select the Entity for Change Tracking: Choose the specific entity for which you want to enable change tracking from the list of data entities.
  4. Configure Change Tracking: Set the "Change tracking" option to:
    • None: Disable change tracking for the entity.
    • All: Track all fields in the entity.
    • Custom: Track specific fields within the entity.
  5. Save the Configuration: After configuring the change tracking options, ensure to save the changes.

Usage in Data Projects

In data management projects, you can specify whether to import or export only the data that has changed since the last execution. This is particularly useful for incremental data transfers, ensuring that only the necessary data is processed.
