Change tracking is essential for organizations with multiple users managing the same data or having similar access levels. To avoid confusion and ensure accountability, Dynamics 365 Finance and Operations offers a built-in database logging mechanism. This guide walks you through the steps to enable and configure this feature.

Steps to Enable Database Logging

1. Navigate to the Database Log Parameters Form

  • Open Dynamics 365 Finance and Operations.
  • Go to System administration > Setup > Database log > Database log parameters.

2. Enable Track All Values for Array Fields

  • In the Database Log Parameters form, set Track all values for array fields to Yes.

3. Navigate to the Database Log Setup Form

  • Go to System administration > Setup > Database log > Database log setup.

4. Create a New Log Setup

  • Click the New button to open the wizard.

  • Select the relevant table and fields to log. Ensure you understand which form's data source needs to be logged. For instance, if you need to log changes in "Business Justifications policies":

    • Select Show all tables.
    • Find and select the relevant table and its fields. If fields from multiple tables share the same name, you may need to check each table.

5. Handle Disabled Finish Button

  • If the Finish button is disabled, you may need to create a cleanup logs job.
  • Go to System administration > Periodic tasks > Database log cleanup.
  • Create and execute a new job if it doesn't exist already (do not rename the job).

Testing and Verifying Database Logging

1. Edit a Record

  • Make changes to a record in the table you configured for logging. For example, update the description in "Business Justifications policies"

2. Check the Database Log

  • Go to System administration > Inquiries > Database log > Database log.
  • Refresh the form to view the logged changes.
  • You can check the history to see which details were modified by a particular user.

Summary

By following these steps, you can enable and configure database logging in Dynamics 365 Finance and Operations. This feature helps in tracking changes, ensuring accountability, and avoiding blame games in organizations with multiple users handling the same data. The logged changes can be reviewed anytime, providing a clear history of modifications.

Conclusion

Database logging is a powerful feature that enhances data management and security in Dynamics 365 Finance and Operations. By configuring it correctly, you can ensure that all changes are tracked, which is crucial for maintaining data integrity and user accountability.
